We are looking for an agency interested in hosting the
9th INTERNATIONAL CONFERENCE ON MANAGING PAVEMENT ASSETS (ICMPA9)

Request for Expressions of Interest

Transportation Research Board (TRB) Committee AFD10, Pavement Management Systems, established a Subcommittee (AFD10[3]) charged with responsibility for coordinating the international conferences on pavement management about every four years. The 8th International Conference on Managing Pavement Assets will be held November 15-19, 2011 in Santiago, Chile. Therefore, the Subcommittee is seeking expressions of interest for an agency to host the 9th International Conference on Managing Pavement Assets about 2015.

Each international conference has contributed to the field of pavement management, providing an opportunity for practitioners to share experiences and learn new techniques. The conference itself has evolved over time, as each of the conference hosts has influenced some aspect of the conference in a unique way. Some of the recent conferences included a “Conference Challenge” and the content of those reflects a broader interest in pavement and roadway assets. Previous conferences in this series, as well as the forthcoming 8th Conference, include the following:

• 1st North American Conference, Toronto, March 1985.
• 2nd North American Conference, Toronto, November 1987.
• 3rd International Conference, San Antonio, May 1994.
• 4th International Conference, Durban, May 1998.
• 5th International Conference, Seattle, August 2001.
• 6th International Conference, Brisbane, October 2004.
• 7th International Conference, Calgary, June 2008.
• 8th International Conference, Santiago, November 2011.

In keeping with the rotation between North American and International sites for the conference, preference will be given to a North American site for the upcoming conference. The International Conference may be combined with another conference, but the International Conference on Management Pavement Assets must be a distinguishable major portion of the conference.

Prospective host organization(s)* must be able to provide the following:

• A technical committee and program plan capable of continuing the level of excellence in past conferences.
• A site capable of accommodating 400 to 600 total attendees, breakout sessions of 30 to 150 attendees, exhibit space, and poster areas.
• Sufficient hotel accommodations within walking distance of the conference site.
• A commitment to provide resources for planning, registration, exhibits, and other activities associated with the Conference.
• A program for accompanying attendees/companions.
• Responsibility for securing financial support and absorbing any financial risk associated with the conference.

Expressions of interest should be in the form of a letter of no more than two pages, plus any relevant attachments, and include the targeted conference dates, the location/venue, information about the host organization(s), key individual(s) who will serve as Chair or Co-chairs of the Conference (or in any other capacity), and any other information considered relevant to the expectations above. These expressions of interest should be submitted in electronic format to Dr. Roger E. Smith, Chair of TRB Subcommittee AFD10(3), at roger-smith@tamu.edu no later than August 1, 2011.

One or more agencies or organizations (a maximum of three) will be invited to submit more detailed proposals (terms of reference to be provided) by January 1, 2012 and to make a presentation to the Subcommittee at the TRB Annual Meeting on Sunday, January 23, 2011. These organizations will be notified no later than September 30, 2011. Final selection of the conference site will be completed at the 2012 TRB Annual Meeting.
